operational support for a public research institute
As a specialist in the fields of agriculture and food safety, the research institute considerssustainability to be one of its core values. As a consequence, the Institute’s procurement function had developed a Sustainable Procurement Policy in order to ensure that its supply chains align with the institute’s commitment. However, the procurement team lacked the expertise to actually integrate these Policy requirements into their procurement projects.
Initial support focused on various sourcing activities including catering, travel and accommodation, where our role involved making sure that the institute prioritised its efforts on the top sustainability impacts for each category and worked with suppliers to actually deliver the expected performance.
We were involved in all stages of the procurement process: business needs definition, supply market analysis, specs and evaluation criteria development, bid evaluation, negotiation and contract management. In doing so, we ensured that a consistent approach was adopted throughout the project.
These projects triggered major change in the supply market as some suppliers had to adapt their products and services and develop new ways to operate. For instance, on the travel management category, they had to develop reporting capabilities and new ways to communicate about CO2 emissions to the users. In the end, the suppliers recognized that this exercise enabled them to adapt to customers' expectations and become more competitive on the market.
